Responsibilities

Intake Coordination

  • Accepting referrals from the HCCSS and CTN and processing internally to determine first visit timeline, determining which Clinician to assign the case based on a list of criteria, and creating offer to be issued to Clinician.
  • Checking previous day’s responses to offers issued and acting on declined offers to reassign to another Clinician, while sorting accepted offers into the appropriate folder.
  • Offer sent to clinician-includes profile of patient-clinician would accept or decline.
  • Following client’s first visit to Clinician, checking on billing and HCCSS reports in Alayacare and through the Health Partner Gateway, ensuring data fields are correct.
  • Checking CTN clinical reports for upload to Alayacare, documenting data fields and uploading CTN reports through the CTN portal.
  • Processing updates and frequency updates detailing changes to treatment plan and billing pathways.
  • Creating tasks to send to Clinician prompting them to take action as the client has received the frequency update.
  • Working directly with Clinicians to troubleshoot and resolve issues as they arise.
  • Continuously communicating with other Intake team members to ensure information is disseminated to all team members.
  • Following company Health and Safety protocols. Following all risk management practices to reduce and prevent risk, and to support health and safety of clients and families, caregivers and service providers and office staff.
Qualifications
  • Very strong attention to detail.
  • Experience in a medical office or in an administrative role an asset.
  • Exceptional organizational abilities.
  • Strong communication skills.
  • Ability to work autonomously and also as part of a team.
  • Computer literate – Word, Excel and Outlook.
  • Ability to multitask.
