Employee Administration/Payroll
-
- Provides each new employee with confirmation of employment letter. Ensures that all employees complete all required paperwork; explain company group insurance program and assist in completion of enrollment. Sets up all new hourly employees in the payroll software.
- Ensures employee is set up in BambooHR.
- Advises the President and relevant supervisor two months after employee start date to confirm satisfaction with new employee.
- Provides confirmation of hour’s letters to the Ministry of Education, T2200’s and confirmation of employment letters as required.
- Completes enrollment processing for all apprentices with the Ministry of Education.
- Completes WSIB form 7 submittals, co-ordinates with employee regarding Early and Safe Return to Work.
- Manages the company’s group insurance plan for the field division. Provide assistance to employees with any questions, enroll employees, follow up with employees who haven’t provided paperwork, update group insurance plan with any changes (employee rates etc.), remove employees from the plan upon termination. Co-ordinates with employees going for apprenticeship training to either discontinue their benefits while at school, or have them pay their portion in advance prior to leaving for school.
- Enters labour hours for all hourly employees on a weekly basis, distributing hours to the correct job or work order. Using both electronic and paper time sheets.
- Completes payroll for all hourly Maintains all hourly employee files. Completes ROE’s for hourly employees upon termination.
- Provides reporting for T4’s, EHT, WSIB, RRSP and Group Insurance to CFO.
- Provides labour and job costing information to finance team as required.
- Manages the vacation calendar for all employees via BambooHR.
Safety Responsibilities

- Conducts a minimum of one site inspection per Prepares a written report which includes visual documentation of all safety infractions or potential risks. Follows up on site inspection results with Supervisor, Foreman and Operations Manager.
- Conducts all new employee safety orientation; provides each new employee with Personal Protection Equipment (PPE) that is provided by the Provides Lock Out / Tag Out kits for journeymen electricians; and Fall Arrest Harnesses for every employee. Obtains copies of any training certificates and Ontario College of Trades certification, makes copies and retains in employee safety file. Forwards copies of all training certificates to the job site.
- Identify employee training needs and coordinate training delivery with employees, foreman/supervisors and training company to ensure that all employees have the necessary training.
- Ensures company compliance by checking for inspection reports for all ladders, forklifts and man lifts. Review and verify completeness of all JHA and DPR forms as they are submitted. Follow up with site foreman/supervisor on any outstanding questions or concerns. Identify trends or common issues and suggest ways to alleviate these issues.
- Prepare safety paperwork for each new job site. Ensure each site has the following: Health and Safety Policy, map to closest hospital, first aid kit, fire extinguisher, MSDS forms and other relevant paperwork. Works with site foreman to ensure that all paperwork and supplies are maintained in good working order at the jobsite.
- Provides agenda and discussion topics for JHSC meetings. Attends meetings, participates and writes up meeting minutes. Posts minutes on Safety Board and forwards copy to Operations Manager and CFO.
- Ensures that the Safety Board has updated and relevant information posted at all times.
- Reviews Health and Safety Policy annually and in conjunction with the JHSC, Operations Manager, CFO and Safety Consultant. Updates policy as required.
Qualifications
- High School Diploma.
- Experience in full cycle payroll of at least 2 years.
- Strong computer skills, including experience in MS Office Suite (Word, Outlook, Excel).
- Experienced in the use of Accounting software – Jonas Enterprise, (Exaktime, BambooHR, assets), WSIB Excellence Program.
- Ability to resolve issues.
- Administrative skills including the ability to review and understand various kinds of paperwork.
- Ability to meet deadlines.
- Good verbal communication skills including the ability to relate to various levels up and down the organization as well as with suppliers and customers.
- Positive attitude.
- Good planning and organizational skills.
