Executive Assistant to CFO

Description

The Executive Assistant to the Chief Financial Officer will be responsible for and evaluated on the following:

  • In a professional and positive manner provide consistent and attentive administrative support to the CFO.
  • Complete a broad variety of administrative tasks including, but not limited to, proactively managing the CFO’s calendar; composing and preparing correspondence that is confidential, arranging complex and detailed travel plans, itineraries, expenses, and agendas.
  • Organize meetings and events end-to-end, including audit committee (Board), investor, institutional, functional meetings, leadership offsites and support senior leadership to coordinate events and meetings.
  • Perform audit committee support duties such as documenting minutes, setting up the agenda on Diligent, and coordinating the execution of various resolutions and agreements.
  • Liaise with Communications & Investor Relations, General Counsel, and Finance teams to help meet public company reporting, filing and disclosure requirements.
  • Coordinate executive schedules (including the CEO) and the Investor Relations calendar while supporting the planning, organizing, and execution of cross-functional internal and external stakeholder meetings.
  • Work with all downstream functional areas (Finance, Communications & Investor
    Relations and Information Technology) to support efficient execution of our combined objectives including obtaining signatures, executing agreements and executing resolutions etc.
Qualifications
  • Minimum of 10 years’ experience in executive administrative roles, preferably supporting senior finance executive in public companies.
  • Post-secondary degree in a related field preferred.
  • Proven ability to handle confidential information with discretion.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and timely responsiveness.
  • Forward thinker, who actively identifies problems and recommend solutions.
  • Excellent interpersonal skills building superior relationships inside and outside the organization.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Experience with Docusign and expert-level knowledge of Diligent.
  • Exceptional written and verbal communication skills.
