Executive Assistant – 6 Month Contract

Description
- Assist Executives with administrative tasks, including calendar, email management and travel
- Develop business acumen to anticipate needs (e.g., independently anticipating the next step in a process, prompting the appropriate people, being resourceful and one step ahead)
- Outstanding coordination of materials, information, organizational and time management skills with an ability to multi-task, prioritize tasks, deliverables and meetings
- Act as a point of contact, a liaison for the business, communicating and acting in a supporting capacity in a variety of administrative ways
- Assistance with presentation creation and execution
- Process various time sensitive information and data; prepare, maintain and track correspondence and documents
- Develop and prepare reports, informational material and assist with special projects
- Ensure efficient and timely workflow of information into and out of the department; with an emphasis on meeting scheduled deadlines and/or target dates
- Coordinate and co-facilitate internal and external meetings, as required. Including action items, follow up on action items, setting agenda, working with team members on presentations
- Work collaboratively with team members to improve processes and streamline work in collaboration with the broader Executive Assistant team
- Support/back-up other administrative professionals when required (ie – special projects/events, reception lunch/vacation, when required)
Qualifications
- 3+ years of administrative experience at the executive level, financial acumen an asset
- Strong written and verbal English communication skills
- Experience supporting senior executive teams
- High degree of professionalism and confidentiality
- Independent, and self-motivated with ability to work autonomously
- Strong organizational skills, with strong prioritization
- Ability to work on multiple projects simultaneously
- Proven strong ability in executive level office administration, with advanced skills in MS Office
