Project Coordinator

Compensation Range

$55K - $65K

Compensation will be determined based on the successful candidate's experience, skills, and qualifications, and may also be influenced by internal equity and market conditions.

Description

As Project Coordinator, you will support the execution of a variety of projects, including fundraising campaigns, donor engagement strategies, and integrated communications programs.

You will work closely with both the project managers and creative teams and play a key role in ensuring projects are executed seamlessly, on time, and at a high standard.

A Day in the Life

  • Coordinate and support project management and execution, may include fundraising and development initiatives and marketing implementations
  • Assist in the development of campaign materials including work plan, donor packages, proposals, and creative briefing documents
  • Conduct prospect research and support donor pipeline development
  • Execute donor cultivation and prospect outreach through mail, email, and phone, including coordinating meetings, tours, and relationship-building touchpoints
  • Coordinate internal teams to execute campaign deliverables across creative, communications, and digital channels
  • Develop and manage project timelines, critical paths, and deliverables
  • Monitor progress and proactively identify risks, delays, or changes
  • Support client communications and relationship management
  • Prepare contact reports, status updates, and campaign tracking documents
  • Act as a liaison between internal teams and clients on day-to-day project execution
  • Ensure all deliverables are aligned with client goals and delivered on time
  • Develop an understanding of client organizations, stakeholders, and project priorities
  • Provide administrative and coordination support as required
Qualifications
  • Post-secondary education in fundraising, communications, marketing, or a related field, or equivalent experience
  • 3–5 years of experience in fundraising, marketing or sales
  • Experience supporting campaigns, events, or donor communications is considered an asset
  • Highly organized with exceptional attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong written and verbal communication skills
  • Strong research and analytical skills
  • Proactive, resourceful, and solutions-oriented mindset
  • Comfortable working independently in a remote environment

Technical Skills:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace is a must
  • Experience with e-marketing tools (Mailchimp, Constant Contact, SurveyMonkey, Canva, etc.)
  • Familiarity with fundraising applications such as Raiser’s Edge, DonorPerfect, is an asset
  • Familiarity with ClickUp or other project management tools
  • Comfortable using AI tools to support productivity and research

Additional Requirements:

  • Valid driver’s license and access to a vehicle
  • Travel to client meetings and events when required
