Description
Responsibilities:
Payroll Processing
- Manage end-to-end payroll processing for all Canadian and American employees, including calculating regular wages, overtime, bonuses, and commissions.
- Ensure accuracy and compliance with company policies, legal requirements, and tax regulations.
- Review and verify payroll data for completeness and accuracy before processing.
- Stay up-to-date with changes in best practices and legislation, attend relevant professional development seminars and sessions
Tax Compliance
- Stay up-to-date with federal, state, and local tax laws and regulations.
- Ensure accurate withholding of taxes, including income tax, Social Security, and Medicare.
- Prepare and submit payroll tax filings and reports as required.
Benefits Administration
- Administer employee benefits programs support.
- Deduct and remit employee contributions accurately.
- Assist employees with benefits-related inquiries and support open enrolment processes.
Commission and Bonus Calculations
- Calculate and process employee commissions and bonuses accurately and in a timely manner.
- Ensure that commission and bonus calculations are in line with company policies and agreements.
Travel and Expense Management
- Review and process employee travel and expense reports, ensuring compliance with company policies.
- Verify receipts and documentation for expense reimbursements.
- Maintain accurate records of travel and expense transactions.
Time and Attendance Tracking
- Oversee time and attendance tracking systems, ensuring accuracy and compliance with labour laws.
- Resolve discrepancies and address attendance-related issues.
- Prepare and distribute attendance reports to management as needed.
Record Keeping and Reporting:
- Maintain accurate payroll and HR records and ensure data confidentiality.
- Generate and distribute payroll reports to management and other stakeholders.
- Prepare year-end payroll reports
Compliance and Auditing:
- Assist in internal and external payroll and benefits audits.
- Ensure adherence to company policies and procedures related to payroll, benefits, and expenses.
- Implement best practices for compliance and efficiency.
Employee Support
- Respond to employee inquiries and provide assistance regarding payroll, benefits, and expense-related matters.
- Resolve payroll, benefits, and expense discrepancies and issues promptly and professionally.
- New employee onboarding to payroll systems
- Employee verifications (phone calls, letters, etc.)
Payroll Systems and Technology
- Utilize payroll software and technology tools effectively.
- Support with the implementation of a T&E software
- Stay current with advancements in payroll and HR software and make recommendations for improvements.
Team Collaboration
- Collaborate with HR, Finance, and other departments to ensure accurate and efficient payroll processing and benefits administration.
HR Assistance with Employee Policies:
- Assist HR in the development, implementation, and communication of employee policies and procedures.
- Ensure that payroll and benefits practices are aligned with company policies and legal requirements.
- Support HR initiatives and programs as needed
RRSP & Pension Plan Set-Up and Administration:
- Set up and manage employee pension plans, ensuring compliance with legal and regulatory requirements.
- Manage employee deductions and remittance to Financial Institution accordingly.
- Maintain accurate records of employee contributions and plan details.
- Provide employees with information and support regarding their pension plans.
Qualifications
- Bachelor’s degree in Finance, Accounting, or a related field (preferred).
- Canadian Certified Payroll Professional certification required with active membership with the National
- Payroll Institute. Equivalent in the USA is an asset.
- 5 years of experience in payroll processing, tax compliance, and benefits administration.
- Experience with USA Benefits Administration an asset.
- CEBS designation an asset.
- Proficiency in payroll software, HRIS systems, and Microsoft Excel.
- Strong understanding of payroll laws, regulations, and best practices.
- Excellent attention to detail, organizational skills, and problem-solving abilities.
- Strong communication skills and the ability to handle sensitive and confidential information
